BentoSMB is a digital marketing agency that provides affordable digital strategy & e-commerce solutions to small and medium businesses globally.
We are looking for a qualified Digital Project Manager to join our team. You will be responsible for the day-to-day management and smooth operation of various digital projects, including site launches, online tools, web applications and advertising campaigns.
While we are a Kingston-based team, we do not necessarily require you to work out of our Kingston office. We do have team members who work remotely, and you will be expected to implement and maintain processes that make remote teamwork efficient and effective.
You are responsible for delivering our digital projects on time, and on budget. This will require you becoming proficient with Jira, our Project Management system, and utilizing it efficiently to manage our team of Developers, Designers, and Marketers, likely remotely.
As far as the client is concerned, you are BentoSMB. After the sale is made, you’re the main point of contact, and the face of our business. Some clients will be a dream to work with. Others won’t be. You need to work to keep them all happy, even in the face of delivering bad news. You’ll need to keep client’s needs, as well as your team’s capabilities in mind, to steer projects to completion. When issues arise, you need to be strategic about how best to handle them, and when you need to escalate to the CEO.
Sometimes a client will have a clear vision for their project, and provide a perfect list of requirements and wishes. However, in many cases, you’ll need to work with the client through the discovery and design processes to arrive at a solution that our team can execute. Asking the right questions to get all of the necessary answers is critical to the planning process, so the more knowledge you have around site architecture, UE, UX, content, SEO, social media, analytics, etc., the better.
You won’t be responsible for sales, but as the person interacting most with our clients, you should have the deepest understanding of their future needs and wishlist. Your input will be heavily relied upon when it comes to our sales team’s understanding of a client’s needs and whether there is opportunity for a continued or future relationship.
Our QA developer can test and review, but ultimately you own the client’s vision for the end product. Does it meet our quality standards? Does it meet the client’s needs? You make the last call on when a project is ready for client review.
You need to be a coach on multiple levels. For starters, the final step in our site development process, is a coaching session with clients to ensure they understand how to use the backend of their WordPress or Shopify site. You need to be confident in your ability to pass on the appropriate information, and be ready to field a wide variety of questions.
You will also be expected to coach your team on how to work within the systems that you will help develop, to continue to deliver quality results.
As a relatively young and small team, we are actively looking to scale the business to a much larger level. That being said, we believe in process and progress over blind growth, and it will be incumbent upon you, with the help of your team, to constantly develop and refine processes that will allow us to more efficiently deliver high-quality results, and scale the business in a sustainable manner.
Key Traits for Success
Great short-term memory is vital. Your days will be scattered. You will be talking to a designer one minute, making a mental note to ask a client about content, then being interrupted by an email you need to deal with immediately. Then you’ll have a scheduled client call, after which a developer will ask you about a project timeline. But did you remember to log the content to-do item in Jira?
The ability to juggle a number of tasks, questions, and thoughts will only serve to help you in the "no dropped balls" category. We work to implement and utilize processes to reduce the amount of mental note-taking necessary, but no matter how good your system, sometimes your memory is all you’ll be able to rely on.
Ask Yourself: Are you that person with the crazy memory association who cleans up at trivia night?
Using the “balls in the air” reference again, the more you can juggle without dropping anything, the better. While part speed and efficiency, this is moreso related to how much you can handle without feeling overwhelmed. Everyone has a tipping point, but yours should be higher than most.
Ask Yourself: When everyone else is running around and freaking out, do you stay calm and make a plan?
Some projects can be a grind, and there will always be fires to put out and issues to deal with. With a never-ending stream of projects in the pipeline, the more willpower you have, the more you’ll be able to persevere through the not-so-great situations.
Ask Yourself: Are you the type to keep your eye on the prize, working through the bumps and bruises along the road until you get to the end?
Instead of inefficiently multi-tasking, can you quickly single-task? Do you have the ability to maintain focus on a single item at a time, while regularly switching between tasks with little ramp up time, or does a distraction throw you off and require an hour of effort to refocus? The nature of the role means that you will be interrupted and disrupted often, and you need to be able to seamlessly switch between tasks and quickly refocus to ensure work moves forward.
Ask Yourself: Can you start a project checklist, get interrupted by a designer in need of a 5 minute meeting on a branding task, then sit back at your computer and pick back up on that checklist without needing to spend 20 minutes recalibrating?
It’s crucial to understand that, while there’s always something more that could be done on a project, you need to pick your battles, focus on high-priority items, and ignore things that aren’t worth the time.
Ask Yourself: Are you able to separate the important from the urgent?
As a highly autonomous employee with a lot of responsibility, if you don’t have the drive to kick ass, you won't. The role is a demanding one, and if you’re not motivated by the work you’re doing, you’ll be drained in a hurry.
Ask Yourself: Does sometimes hectic nature some projects tend to generate leave you excited or drained?
You should be addicted to learning. The more you can learn, the better you’ll be at working with clients, managing your team, developing processes, and moving BentoSMB forwards.
Ask Yourself: Are you a fast, self-directed learner who loves learning technology and process?.
When clients and team members get angry or frustrated, you need to have the emotional intelligence to identify and understand their pain, and step back to evaluate how best to find a solution to the problem.
Ask Yourself: Are you able to recognize and understand others’ emotions, while maintaining the ability to step back and find a drama-free solution?
As project manager, you're in charge of your team. While you need to be realistic about the project with stakeholders, you're also the main cheerleader, keeping both your team and the client moving when things aren’t working like they should.
Ask Yourself: Are you an assertive, positive communicator who motivates your team to succeed, and inspires client confidence in your team’s ability to do so?
You need to simultaneously maintain an on-the-ground view, alongside a high-level perspective of your team’s projects and progress. You need to quickly make decisions without all of the necessary information, and achieve success by manipulating outcomes without manipulating people.
Ask Yourself: When people have a complex project or a process problem, do they come to you?
We don’t have any hard requirements. While obviously experience in digital project management and ecommerce solutions is an asset, we know that experience comes in many forms, many skills are transferable, and passion goes a long way.
